Executive and Client Services Assistant — Full-time (35 hours)

Organization:

A Christian, life-affirming ministry founded in 2000, PCC’s mission is to offer hope and practical help for women and men facing unplanned pregnancy.  We do this by offering free, confidential services including pregnancy testing, ultrasounds, one-on-one coaching and relationship and family education classes. Our service area includes Springfield and southwest Missouri.

Position Summary:

Reporting to the Client Services Director and Executive Director, the person in this position will provide high-level administrative support by:

  • coordinating all education classes
  • updating and maintaining education records in client database
  • acting as the Fatherhood program liaison
  • assisting with budget preparation and tracking
  • managing schedules and communications for two directors
  • preparing for various meetings, including Board of Directors

 Duties and Responsibilities:

  • Coordinates all education classes, including:
    • Working directly with community educators to coordinate class schedules and classroom needs
    • Monitoring curricular resources and classroom supplies
    • Sending reminders and recording attendance
    • Setting up rooms based on unique class or instructor needs
    • Plans/organizes and implements various meetings, small events and employee team building activities or special projects
    • Arranges PCC’s participation in community events, including correspondence and travel as needed
    • Assists with planning team building and volunteer appreciation functions
    • Answers phone inquiries, manages schedules and handles basic communications for two directors
    • Comfortable performing clerical duties, drafting correspondence, maintaining paper and electronic files, and organizing documents
    • Prepares information and research as needed

Estimated Time Allocation:

  • Education coordination and execution – 50%
  • Executive Director administrative support – 20%
  • Client Services Director administrative support – 20%
  • Participation in team meetings and community events – 10%

Skills:

  • Comfortable in a fast-paced environment, meeting deadlines with multiple tasks and projects at hand
    • Adept at organizing and managing large amounts of files, tasks, schedules, and information
    • Excellent time management and prioritization skills
    • Able to maintain strict confidentiality
    • Energetic and eager to tackle new projects and ideas
    • Flexible and adaptable style, teachable attitude
    • Resourceful, productive, efficient and skilled in problem solving
    • Self-directed and able to work independently, but also a team player
    • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Adobe and Excel); scheduling appointments/updating calendars a must
    • Excellent written and verbal communication skills
    • Professional in appearance and attitude; exudes executive presence
    • Excellent self-awareness and strong interpersonal skills

Qualifications:

  • Commitment to Christ and willingness to courageously do Christ’s will in the ministry
    • Passionate about promoting PCC’s mission, vision and statement of belief
    • Three to five years’ experience in mid-level administration in professional environment required
    • Somewhat flexible schedule to accommodate evening classes and off-hours events
    • Bachelor’s degree preferred
